Events (Hearings & Interviews)

Permission required: case.read to view, case.update to add, edit, reschedule or delete

CaseBright records two kinds of case events:

An event always belongs to a case. It can also be linked to a hearing or interview step in the case workflow, in which case the step's due date follows the event date.

Events are managed by staff only; clients do not see them in the client portal.

Recorded events show up in several places:

  • the case's Events tab,
  • the Events page (the firm-wide docket),
  • the Calendar,
  • the case header, as the next upcoming hearing or interview,
  • the Cases list, in the Next event, Next hearing and Next interview columns.

1. The Events page (firm-wide docket)​

Navigate to Events in the Practice group of the left sidebar. The page, titled Hearings & interviews, lists every hearing and interview on the cases you can see, one row per event.

By default it shows events that are Scheduled from today onwards, grouped by day.

The number of matching events is shown next to the filters.

Columns​

Click a column heading to sort by it; click again to reverse. Rows are grouped by day only when sorted by date.

Click a row to open that case on its Events tab. Click Open calendar to switch to the monthly Calendar.


2. Events on a case​

Open a case and go to its Events tab. The tab, titled Hearings & interviews, shows:

  • summary cards: Next up, Upcoming (scheduled, date not yet passed), Awaiting outcome (date passed, result not recorded) and Completed,
  • an Upcoming list and a History list (completed and cancelled events),
  • a filter for All, Hearings or Interviews.

Click an event to expand its details: time, venue and courtroom, appearance mode, representative, interpreter, outcome, linked document, linked workflow step, the continuance or reschedule history, and who recorded it and when.

Adding a hearing or interview​

  1. On the case's Events tab, click Add and choose Add hearing or Add interview.

  2. Optionally click Fill from case to copy matching details (such as the A-Number) from the case into the empty fields.

  3. Fill in the sections:

    Type & venue

    • Hearings: Court type (required), then Hearing type, Court name, Court address and, except for Immigration Court, Court case / docket number. Also Courtroom.
    • Interviews: Interview type, Location / field office, Office address, Reference / receipt number.

    Schedule

    • The date (required) and time, with an optional end time.
    • The notice date (Notice of hearing date or Invitation / notice date).
    • Appearance: In person, Video or Telephonic. For video or telephone, add the Video link or Dial-in details.

    Participants

    • A-Number, Representative, Interpreter required (and Interpreter language).
    • Hearings: Judge (shown as Immigration judge for Immigration Court) and Opposing counsel (shown as DHS trial attorney for Immigration Court).
    • Interviews: Representative attendance (Not expected, Expected, Required) and Related submission.

    Status

    • Status: Scheduled, Completed, Cancelled or No show. When set to Completed, also record the Outcome and the Decision date.

    Also available: Supporting document link, Display label (replaces the default name) and Notes.

  4. Click Add hearing or Add interview to save.

Court types and hearing types​

The hearing types on offer depend on the court type:

Recording the outcome​

An event whose date has passed but which is still Scheduled is marked Awaiting outcome. To close it:

  1. Open the event's menu and choose Edit.
  2. Set Status to Completed, Cancelled or No show.
  3. For Completed, choose the Outcome and enter the Decision date.
  4. Click Save changes.

3. Continuances and reschedules​

When a hearing is continued or an interview is moved, record it as a continuance or reschedule instead of editing the date. The previous date is then kept in the history.

  1. Open the event's menu and choose Continue (hearings) or Reschedule (interviews). This option appears only while the event is Scheduled.
  2. The dialog shows the Currently scheduled date. Enter the New date and, if known, the New time.
  3. Choose who asked for the change under Requested by: Court / agency, Government (DHS), Our client, Our firm, or Other.
  4. Optionally enter a Reason.
  5. Click Save continuance or Save reschedule.

The event moves to the new date, the old date is added to the Continuance history or Reschedule history, and any workflow step linked to the event moves with it. The case shows how many times the event was continued or rescheduled.

Use Edit only to fix a date that was entered wrongly. Changing the date there does not keep the previous one in the history.

Deleting an event​

Open the event's menu, choose Delete and confirm. The event and its history are removed from the case. A linked workflow step is not deleted.


4. Hearing and interview steps in a workflow​

Workflows can contain hearing and interview steps (see Workflows). When you expand such a step on a case, it has a Hearing or Interview tab:

  • If nothing is linked yet, add a new hearing or interview from the tab (it is recorded on the case and linked to the step), or use Link existing to link one already on the case.
  • Once linked, the step's due date follows the event date while the event is scheduled.
  • From the tab you can Continue a hearing or Reschedule an interview, Edit it, choose Unlink from this step from its menu (the event stays on the case), or delete it.

5. Next event on cases​

  • Case header: the case header shows the next scheduled hearing or interview with how far away it is (for example "Next hearing · In 3 days"). If its date has passed without an outcome, it says outcome pending. Click it to open the Events tab.
  • Case side panel: a card shows the date, time, type and venue of the next event. Its buttons (such as Prepare hearing, Reschedule, Details and All events) open the Events tab.
  • Case list: add the Next event, Next hearing or Next interview columns to the Cases list with the column picker (see Lists & Saved Views). Next event can be sorted.

6. Hearing feed (automatic hearing import)​

Permission required: integration.hearing-feed.read to view, integration.hearing-feed.manage to act on waiting hearings

Your organization can connect an outside docket watcher that sends the firm's Immigration Court hearings to CaseBright. This is set up by an administrator under Admin Settings → Integrations → Hearing feed (see Admin Settings).

How incoming hearings are handled:

  • Each hearing is matched to a client by A-Number.
  • If that client has exactly one open case, the hearing is recorded on it automatically. A scheduled Immigration Court hearing on the same day is updated; if an upcoming hearing has moved to a new date, it is recorded as a continuance; otherwise a new hearing is added.
  • If no case can be chosen, the hearing waits on the Waiting for a case list on the Hearing feed tab.

Handling hearings that are waiting for a case​

The list shows why each hearing is waiting:

  1. Go to Admin Settings → Integrations and open the Hearing feed tab.
  2. Under Waiting for a case, find the hearing.
  3. Choose the case in Pick a case… and click Record on case, or click Dismiss if the hearing should not be recorded.

Use the status switch to review Waiting, Recorded or Dismissed items.
