AI Assistant

Permission required: ai.case-chat.use

The AI assistant answers questions about your cases, clients and immigration practice in plain language. You can use it in two places:

  • Yellow AI — the full chat page in the left sidebar, with your conversation history, every control, and the prompt library.
  • The assistant window — a round button in the bottom-right corner of every other page. It opens a small chat window without leaving the page you are working on.

Both places share the same conversation, so a question you start in the window can be continued on the Yellow AI page.

Whether the assistant is available, which models you can pick and how much you can use it each month are set by your administrators. See Admin Settings.


1. What the Assistant Can See​

The assistant only reads what you are allowed to open yourself. It follows the same case and client visibility as the rest of CaseBright: if you cannot open a case or client, the assistant cannot find or read it for you either. Administrators see everything in the organization, as they do elsewhere.

When you select a case or client, the assistant can read, for example:

The assistant can also search your organization's knowledge base.


2. The Yellow AI Page​

Click Yellow AI in the left sidebar.

The page has three areas:

The page always opens on a new conversation. Your previous one stays in Chats. Click New chat to start over at any time.

Deleting a conversation permanently removes it and its history. This cannot be undone.

Asking a Question​

  1. Optionally choose what the answer is about: next to Answering about, click Add case or Add client and pick a record.
  2. Type your question in the message box, or click one of the suggested questions on the empty screen to put it in the box.
  3. Press Enter to send (Shift+Enter adds a new line).
  4. While the answer is being written you can click Stop generating.

While it works, the assistant shows the steps it takes (for example Reading case details or Searching the knowledge base). Click Show steps to see them.

To remove a selected case or client, open its picker again and clear it. You can select both a case and a client at the same time.


3. Choosing a Model​

The model picker sits in the bottom row of the message box. You can change the model for each message.

  • The list only contains the models your administrators have allowed for you. Your organization's default is preselected.
  • Models are grouped by where they run: Anthropic API, AWS Bedrock · stays in our AWS account and OpenAI.
  • Next to the picker, two indicators show what the selected model can do:

Models running on AWS Bedrock do not search the web.


4. Answering Modes​

The mode picker, next to the model picker, decides what the answer may be based on. You can change it for each message.

AutomaticSource-based when a case is selected, general chat otherwise. This is the usual choice.
General chatUses the model's own knowledge. Use it to ask general legal or practice questions even while a case is selected. If the model supports it, this is the only mode that searches the web live.
Source-basedAnswers only from case documents, the knowledge base and verified fields. With no case or client selected, it answers from the knowledge base only.

The page header reminds you which applies, for example "Answers grounded in the selected case" or "General answers, with the selected case in view".


5. Attaching Files​

Click Add file in the Answering about row. You get three options:

Upload from computerAttach a PDF, image, Word or text file from your computer. The file stays in this chat only and is not saved to any case.
Upload to the case's documentsUpload a file and save it to the selected case like any other document, then attach it to your message.

You can also drag files onto the conversation, or use the paperclip button (Attach a file from your computer) next to the send button. The number of files per message is limited. Wait until uploads finish before sending.


6. Working With Answers​

Under each answer you can:

Answers may also include:

  • Sources — the documents or records the answer relied on. Check them.
  • Buttons such as Open case, Open document or Run a full cross-check that take you straight to the record or start the next step.
  • Files — when you ask for a file (for example a Word letter draft or a spreadsheet), the assistant can create one and attach it to its answer for download. Depending on the model, it may instead suggest using Download as PDF.

If an answer stops early you will see Response interrupted. Use Regenerate response to try again.


7. The Prompt Library​

The Prompts tab on the right of the Yellow AI page stores questions you ask often, so you do not have to retype them.

Using a Prompt​

  1. Click a prompt in the list. It is placed on the message box as a Prompt chip.
  2. If the prompt uses client or case details, select the client or case with Add client or Add case. The chip tells you what is needed.
  3. Optionally type a note to add to the prompt.
  4. Send. Variables are filled in from the selected client or case when the message is sent.

To take the prompt off the message box, click Remove prompt.

Creating a Prompt​

  1. In the Prompts tab, click New prompt.
  2. Enter a Title and write the Prompt.
  3. To insert client or case details, click Insert variable and pick a field. The dialog shows whether the prompt needs a selected client or case when sent.
  4. Click Create prompt.

Variables​

Variables are written in double curly braces and are replaced with the selected record's details.

Anything in curly braces that is not in this list is sent exactly as written.

Example: Summarize the open items for {{CLIENT.NAME}} in the case {{CASE.TITLE}}.

Managing and Sharing Prompts​

Open a prompt's menu to Edit, Share or Delete it. For a prompt someone else shared with you, choose Save a copy to get your own editable version.

Permission required to share with a department: ai.prompt.share

When you share, choose who can see the prompt:

Shared prompts show who shared them. Deleting a shared prompt removes it for everyone it was shared with.


8. The Assistant Window​

The assistant window is the quick version of the chat, available on every page except Yellow AI itself (if your organization has it switched on).

  1. Click the round button in the bottom-right corner (Ask the AI assistant).
  2. On a case or client page, the window automatically takes that case or client as its subject and shows "picked from this page". You can remove it with one click. (Your administrators decide whether this happens automatically.)
  3. Type your question, or click one of the suggested questions for that page.
  4. Use the conversation name under Yellow AI in the window header to switch to another conversation or start a New chat.
  5. Click Open in Yellow AI to continue the same conversation on the full page.

The window stays open while you use the page behind it, so you can read a document while asking about it. Close it with Close or the Esc key.

Differences from the full page:

  • The model is set by an administrator; you cannot change it in the window.
  • You cannot attach files, and the prompt library is not available there.
  • The footer shows the current mode and model.

9. Case Insights on the Case Page​

Permission required: ai.case-summary.use

If your organization uses it, the case overview shows a Case Insights card with an AI summary of What's Done, What's Next and Remarks. The summary is created the first time the case is opened and then reused. If no summary exists yet, click Generate; to refresh an existing one, click the refresh button on the card. Click Ask Question to open the assistant window about this case. See Cases.


10. Monthly Allowances​

Your organization may limit how much AI each person or department uses per month. You see a notice above the message box when you have used most of your allowance, and another when it is used up. Ask an administrator to extend it. See Admin Settings.


11. Good Practice for Lawyers​

  • Always verify. AI answers can contain errors. Check important facts, dates and names against the case file and the sources shown under the answer before relying on them.
  • Use Source-based mode for case facts. When the answer must come from the file, switch to Source-based so the assistant does not fill gaps from general knowledge.
  • Use General chat for general questions. For questions about law or practice, not a specific file, use General chat. Remember that general knowledge may be out of date unless the model searched the web; check current rules at the official source.
  • Pick the right subject. Select the case or client you mean before asking. Answers about the wrong record are easy to miss.
  • Files from your computer stay in the chat. Use Upload to the case's documents only when the file belongs in the case record.
  • Do not treat drafts as final. Letters, summaries and files the assistant creates are drafts for a lawyer to review and edit.
